Appointment Policies

Late Policy:

We make every attempt to see you at your scheduled appointment time. To ensure that we run on time, we ask that you arrive at least 15 minutes ahead of your scheduled appointment time. If you are more than 5 minutes late, and the provider is still able to see you, we will charge a $25 late fee. If the provider is unable to fit you into the schedule, the appointment will be rescheduled for another day. A phone call when running late is also appreciated.

Appointment Cancellation Policy:

For appointments that are canceled or rescheduled by the parent or guardian with less than 24 hours’ notice, a same-day reschedule/cancellation fee of $50 applies.

No-Show Policy:

There is a no-show fee of $50 per child for Well Visits and $25 per child for Sick Visits if you do NOT notify us that you will not be attending the visit. Effective September 30, 2024, each family will have a limit of three no-shows and after three no-shows to Well Visits or Sick Visits, the family will be dismissed from the practice. Please note, if siblings are scheduled at the same time and no-show their appointments, the family will no longer be permitted to schedule siblings at the same time.

Additionally, if you are a new patient and you do not show up to your first appointment or notify us that you will not be attending the first appointment, you will be dismissed from the practice.

TeleVisits and Phone Consultations

We offer phone consultations for medical advice during the business day. The physician will determine if the consultation can be handled over the phone (for example questions regarding sleep patterns, behavior, etc) or if the patient needs to be seen in the clinic or if a TeleVisit needs to be scheduled with a provider.

Health Forms

There is a $10 administrative fee for all FORM completions. There will be no charge if the forms are brought in at the time of your child’s appointment.

Financial Policies

Payment Due at Time of Service

  • Oak Cliff Pediatrics and Commercial Insurance Plans require payment for all visits at the time of service. This includes follow-up visits and re-check visits. Annual Wellness Check Ups are typically covered by insurance plans and no payment will be required based on your type of coverage. 
  • Payment is required IN FULL if insurance cannot be verified prior to your appointment. Payment is also required IN FULL at time of service for patients without insurance.
  • COPAY PLANS – If your insurance plan has a copay for office visits, you will be responsible for the full amount of the copay at the time of service. If the copay cannot be paid in full prior to the appointment, your appointment will need to be rescheduled.
  • DEDUCTIBLE PLANS – If you have a deductible plan and the deductible has not been met, you will be responsible for $80, which is an estimate of how much will be applied to your deductible at the time of service. Once your claim has been processed by insurance, there may be additional charges applied to your account based on your coverage. This is all plan-dependent and any questions regarding coverage should be discussed with your insurance plan. 

Billing

  • Should you have a remaining balance after insurance has processed the claim, you will receive a payment reminder via email with any remaining balance reflecting what your insurance determined as patient responsibility. All remaining balances will be required to be paid within 60 days to prevent your account going on Financial Hold. 
  • A statement can be sent via mail or email at your request. Please call the office and press option 2 if you have questions about your bill. 
  • Payment Plans Available upon request.

Financial Hold  

  • If there is a balance on your child(ren)’s account that is more than 60 days old, your child(ren)’s account will be placed on a financial hold. Once the account is on a financial hold, it cannot be removed until the balance is paid in full or a payment plan is set up for the balance. While the account is on financial hold, no future appointments can be booked. This applies to the family’s account.
  • If there is a balance on your child(ren)’s account that is more than 90 days old and no effort has been made to pay the balance or set up a payment plan, your child(ren)’s account will be sent to collections and the family will be dismissed from the practice.

We currently do not accept MEDICAID.
